Privacy Policy.
How the Keshia Lee Estate handles the information entrusted to it, and how its documents are kept and disclosed — under Article IX of the Constitution, HIPAA, PCI-DSS, and the confidentiality provisions of the Internal Revenue Code.
- 01
Scope of this Policy
This Policy governs how the Keshia Lee Estate collects, uses, safeguards, and discloses information through this site, its registry of correspondence, its document archive, and the records kept by the office of the Secretary. It applies to every visitor, applicant, and authorized reader of the archive.
- 02
Information the Estate Collects
Correspondence entered into the registry: the name, email address, subject, and message you supply. Access requests: your name, email address, affiliation, the class of records requested, and the purpose you state. Records of adoption: the name and email address of a signatory, together with the date of signature. Account information: the name and email address associated with a sign-in, held by the platform that authenticates the Estate's readers.
- 03
How Information Is Used
Information is used only to answer correspondence, to decide and record access decisions, to maintain the constitutional register, and to authenticate readers of restricted records. The Estate does not use visitor information for advertising, does not build profiles of visitors, and does not sell information.
- 04
Estate Documents & Access Control
The archive distinguishes public records from restricted ones. Public records, including the Form 990 required to be open to inspection, are listed for all readers. Restricted records, including signed records of adoption, are available only to the signatory and to the Estate's administrators. Access is granted by role and limited to the minimum necessary for the purpose stated in an approved request.
- 05
Sharing & Disclosure
The Estate discloses information to service providers only as needed to operate this site and its registry, and to public authorities where the law requires it. Taxpayer information is protected under 26 U.S.C. §§ 7216 and 6103. Information that the Estate is obliged to publish under IRC § 6104 is disclosed as a public record.
- 06
Security Safeguards
The Estate maintains administrative, technical, and physical safeguards proportionate to the sensitivity of the records it holds: role-based access controls, encryption in transit, the minimum-necessary standard for protected health information under HIPAA, cardholder data security under PCI-DSS, and a written Data Breach Response Plan tested every two years, as required by Article IX of the Constitution.
- 07
Retention
Correspondence and access requests are kept for as long as needed to answer them and to document the decision, then for the period required by the Estate's records schedule. Records of adoption are kept permanently as part of the constitutional register. Records subject to a legal hold are retained until the hold is released.
- 08
Your Choices & Rights
You may ask what information the Estate holds about you, ask that it be corrected, or ask that it be deleted where the law does not require its retention. Requests are made through the registry and answered in due course by the office of the Privacy Officer.
- 09
Sessions & Cookies
Essential cookies are used to keep an authenticated reader signed in to pages that require an account. The Estate does not sell or share visitor data for advertising purposes.
- 10
Children
This site is not directed to children, and the Estate does not knowingly collect information from children through it. Correspondence concerning a minor is handled by the office of the Privacy Officer under the Estate's ordinary safeguards.
- 11
Changes to this Policy
The Board may amend this Policy as its programs and legal obligations evolve. The current version is always published here, and material changes are noted in the Estate's annual report.
